Privacy Policy

Your data, in plain English. We collect only what we need to run Scheduleroby, and we never sell it.

This Privacy Policy explains how Scheduleroby ("we", "us", "our") collects, uses, stores and discloses personal information. We are committed to protecting your privacy in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and where applicable, the EU General Data Protection Regulation (GDPR).

1. Who we are

2. What personal information we collect

We collect the minimum information needed to provide the service:

  • Account information — your name and email address (provided when you sign up).
  • Tasks, notes and contacts — the content you create inside the app.
  • Calendar data — if you connect Google Calendar, we receive event details (title, start/end time, description) for the calendars you choose to sync.
  • Telegram identifiers — if you link your Telegram account, we store your Telegram chat ID to deliver bot messages and reminders.
  • Preferences — timezone, theme, notification settings, focus categories.
  • Technical data — basic logs (timestamps, error traces) used to keep the service running.

3. How we use your information

  • To provide, operate and improve Scheduleroby.
  • To send the notifications, daily summaries and Telegram messages you opt into.
  • To generate AI suggestions (e.g. recommended task times, daily affirmations) using third-party language models. We send the minimum context required for each generation and never sell your data.
  • To respond to your support requests.
  • To comply with legal obligations.

4. Who we share data with (subprocessors)

We use carefully selected third-party providers to run the service. Each receives only the data needed to perform its function. The current list is published at /subprocessors and includes hosting (Base44), calendar sync (Google), messaging (Telegram), and AI providers (OpenAI/Anthropic/Google for LLM features). We do not sell your personal information.

5. Where data is stored

Your data is stored on Base44's infrastructure. Some subprocessors (e.g. Google, OpenAI) process data outside Australia, including in the United States. By using Scheduleroby you consent to this transfer. We require all subprocessors to maintain appropriate security standards.

6. How long we keep your data

We retain your account data for as long as your account is active. When you delete your account, your data enters a 30-day recovery window during which it can be restored on request. After that period, all your personal data is permanently deleted from our active systems. Backup copies are purged within 90 days.

7. Your rights

You have the right to:

  • Access the personal information we hold about you.
  • Correct any inaccurate information.
  • Export your data in a portable format (JSON).
  • Delete your account and all associated data.
  • Withdraw consent for optional integrations (e.g. disconnect Google Calendar or Telegram) at any time.
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we've mishandled your information.

8. Security

We use industry-standard encryption (TLS in transit, encryption at rest via our hosting provider), strict access controls, and the principle of least privilege for all subprocessors. No system is perfectly secure, but we work hard to protect your data and will notify affected users promptly if a breach occurs.

9. Cookies & tracking

Scheduleroby uses essential cookies for authentication (managed by Base44). We do not use third-party advertising trackers. If we add optional analytics in future, we'll update this policy and ask for your consent first.

10. Children

Scheduleroby is not directed at children under 16. We do not knowingly collect data from minors. If you believe a child has provided us with personal information, please contact us and we'll remove it.

11. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be announced via email or in-app notification at least 14 days before they take effect. The "Last updated" date at the top reflects the most recent revision.
